What data we collect
We collect the following categories of data: (a) Client account data — company name, billing address, contact name, email address, and phone number of the account holder; (b) Employee communication data — employee name, phone number, and shift-related information provided by the employer-client for the purpose of sending automated communications; (c) Platform usage data — login activity, dashboard usage, and API call logs; (d) Technical data — IP addresses, browser type, and device information collected automatically when you use our web platform.
How we use your data
Client account data is used to manage your subscription, provide support, and send service-related communications. Employee communication data is used solely to deliver the automated shift communications requested by the employer-client. We do not use employee data for any purpose beyond the delivery of those communications. Platform usage data is used to improve the platform and diagnose technical issues. Technical data is used for security monitoring and platform performance.
Employee data protection
Employee phone numbers and personal details are provided to CrewFlow by the employer-client. CrewFlow acts as a data processor in relation to employee data — the employer-client is the data controller. Employee data is used exclusively to deliver the communications requested by the employer. We do not sell, share, or use employee data for any purpose outside the scope of the service. Employees who wish to have their data removed from the platform should contact their employer's HR department.
SMS communications
We send SMS messages on behalf of employer-clients to their consented employees. All SMS recipients have opted in through their employer's HR onboarding process. Every SMS includes opt-out instructions. Recipients can reply STOP at any time to stop receiving messages. Cookies
Our web platform uses cookies for session management (to keep you logged in), security (to detect suspicious activity), and analytics (to understand how the platform is used). We do not use advertising or tracking cookies. You can disable cookies in your browser settings, but this may affect platform functionality.
Third-party telecom providers
To deliver SMS and voice communications, we work with licensed third-party telecom providers. These providers receive the minimum data necessary to deliver the communication — typically the recipient's phone number and the message content. All providers are bound by data processing agreements and are required to comply with applicable data protection regulations.
Data retention
Client account data is retained for the duration of the subscription and for 12 months after account closure. Employee communication data (phone numbers and shift data) is retained for 12 months from the date of the communication, after which it is deleted. Audit logs are retained for 12 months. You may request earlier deletion by contacting us at [email protected].
We do not sell your data
CrewFlow Technologies does not sell, rent, or trade personal data to any third party for commercial purposes. This applies to both client account data and employee communication data.
Your rights
Depending on your location, you may have rights including: the right to access the data we hold about you; the right to correct inaccurate data; the right to request deletion of your data; the right to object to processing; and the right to data portability. International data transfers
CrewFlow is headquartered in India. If you are accessing our platform from outside India, your data may be transferred to and processed in India. For clients in the UK and EU, we ensure appropriate safeguards are in place in accordance with GDPR requirements.
