Consent and opt-in
CrewFlow only communicates with employees who have explicitly opted in through their employer's HR onboarding process. Consent is collected at the point of employment onboarding, documented in the employer's HR system, and passed to CrewFlow via our API or CSV import. We do not send messages to any individual who has not provided documented consent through this process.
Transactional messages only
All messages sent through the CrewFlow platform are transactional and internal. They relate directly to the employment relationship between the employer and their staff — shift reminders, coverage alerts, IVR confirmations, and payroll notifications. We do not support marketing campaigns, cold outreach, lead generation, or any form of unsolicited communication.
Audit logs and record keeping
CrewFlow maintains full audit logs with timestamps for every alert sent and every IVR response received. Logs include: message content, recipient identifier, delivery status, timestamp, and IVR response (where applicable). These logs are retained for a minimum of 12 months and are available to the employer-client on request.
Opt-out and employee rights
Employees can opt out of receiving CrewFlow messages at any time by: (1) contacting their company HR administrator, who can remove them from the platform; (2) replying STOP to any SMS message; or (3) pressing the opt-out option during an IVR call. Opt-out requests are processed within 24 hours. We maintain a suppression list to ensure opted-out individuals are not contacted again.
Regulatory compliance
India: CrewFlow complies with TRAI (Telecom Regulatory Authority of India) regulations, including the Telecom Commercial Communications Customer Preference Regulations (TCCCPR). All messages are sent via licensed telecom providers registered with TRAI. International: For operations in the United Kingdom, United States, Canada, Australia, and New Zealand, CrewFlow aligns with GDPR (UK/EU), TCPA (United States), CASL (Canada), the Spam Act 2003 (Australia), and the Unsolicited Electronic Messages Act 2007 (New Zealand).
Telecom provider standards
CrewFlow partners exclusively with licensed telecom providers. All providers are vetted for compliance with local telecommunications regulations before onboarding. We enforce a strict Acceptable Use Policy (AUP) with all providers and clients.
Prohibited use cases
The CrewFlow platform must not be used for: auto-dialling or robocalling for non-transactional purposes; lead generation or cold outreach; debt collection; gambling or lottery promotions; adult content; high-risk financial schemes; political campaigning; or any communication that violates applicable telecom regulations. Clients found in violation of this policy will have their accounts suspended immediately.
Platform scope
CrewFlow is strictly a legitimate employer-to-employee workforce communication platform. Our platform is not a general-purpose messaging service. Every use case must relate directly to the employment relationship and must involve consented recipients.
